UT Austin to Launch Revised Payee Information Form (PIF)

After several years of planning, cross-departmental collaboration, and extensive review, the Payee Information Form (PIF) information has been revised and will be published on September 5, 2025. This initiative was a joint effort between Payment Services, the Vendor Identification (VID) Section, Tax Services, and the DocuSign team within Records and Information Management Services (RIMS). 

 

Together, these teams led a multi-year project to modernize the form, clarify requirements, and streamline the payee setup process. The PIF serves as the university’s internal equivalent to the IRS W-9 and W-8 forms, ensuring that UT collects accurate and complete information from individuals and entities receiving payments.

 

 

Why This Matters

Accurate vendor information is essential to ensure that UT can process payments correctly, comply with IRS reporting requirements, and maintain transparency in financial operations. 

 

 

What’s Next

The revamped PIF, including updated instructions and checklist, will be available on the Vendor Identification (VID) Section website on September 5, 2025. While the DocuSign link will remain the same, the instructions have been refreshed to better guide you through completing the form.  

 

 

Departments and business units are encouraged to review the revised PIF and direct any questions to Payment Services for guidance.
