UT Amazon Business Prime
Amazon Business Prime is a membership program designed to support organizational purchasing by providing enhanced features, streamlined procurement capabilities, and added value beyond standard Amazon Business accounts.
Overview
Provides an overview of Amazon Business Prime and features that support the University’s purchasing experience and operational efficiency.
Platform Benefits
Amazon Business Prime enhances the University’s purchasing experience by improving visibility into transactions, strengthening reporting and analytics, and supporting secure ProCard usage.
Key Benefits include:
- Free two-day shipping on eligible items
- Sales tax-exemption for qualifying items (based on ship to address in Texas)
- Business pricing and discounts
- Expanded product selection for business customers
Important: Business Prime benefits are intended for University business use only and are not for personal use. The membership does not include consumer Prime services such as Prime Video, Music, Reading, Amazon Fresh, or Whole Foods Market.
Roles and Responsibilities
Amazon Business Prime relies on shared responsibility between system administrators, group administrators, and buyers to ensure proper use, oversight, and compliance with University policies.
- System Administrators (Procurement Services)
- Oversee the University’s Amazon Business account, manage overall system configuration, and ensure alignment with procurement policies and requirements.
- Group Administrators
- Manage user access and roles, configure payment methods and delivery settings, and maintain group-level purchasing controls within their departments.
- Buyers (Users)
- Place orders in accordance with University policies, use approved payment methods, and ensure all purchases are business-related and compliant.
Department Responsibilities
Departments are responsible for ensuring proper account usage and compliant purchasing when using Amazon Business Prime:
- Use only University-approved access
- Log in via UT Direct (Single Sign-On)
- Use a UT-issued email address
- Personal email accounts are not permitted
- Use University-approved payment method
- ProCard is required (personal payment methods are not allowed)
- Use the account for official University business only
- Personal purchases are prohibited
- All transactions must follow University business procedures and applicable policies (HBP 7.8)
Compliance Requirements
Outlines the compliance requirements and required controls that govern purchasing within Amazon Business Prime.
Executive Order GA-48
Executive Order GA-48 prohibits purchases from companies owned by or affiliated with foreign adversaries. Restricted countries include:
- China (including Hong Kong and Macau)
- Russia
- Cuba
- Iran
- North Korea
- Venezuela
System Controls
The University and Amazon have implemented controls to support compliance:
- Section 889 restrictions for specific technologies
- Amazon brand-level blocking for identified sellers
- Ongoing University review and removal of non-compliant sellers
- Ongoing Amazon enhancement to enable block of seller (sold by) countries
These controls assist with compliance; however, departments must still verify each purchase.
Department Verification
Departments are responsible for ensuring compliant purchasing by verifying the seller before purchase:
- Confirm the item is not sold by a vendor located in or affiliated with a restricted country under Executive Order GA-48
- Always review the “Sold by” information (primary compliance factor) and verify the sold by company's business address is NOT from an adversarial country
- “Ships from” alone is not sufficient—focus on who the item is sold by
- Use Amazon filters (such as: Amazon.com and Top Brands) to help identify compliant items
- If unsure, do not proceed. Select an alternate item/vendor or contact Procurement Services Systems Admin Team for assistance at purchasing-utmarket@austin.utexas.edu
Access
Defines how users obtain and maintain access to Amazon Business Prime through authentication and registration.
Authentication
All UT Austin employees can authenticate using their UT credentials.
Before accessing the site, ensure your work email address is updated in Workday. This should be the same email address used across all eProcurement platforms for authentication.
- Do not use personal email addresses for the Amazon Business Prime account.
- Do not use your University email address for a personal Amazon Prime account.
- Do not make personal purchases in the business account.
Verify your email in Workday:
- Sign in to Workday.
- From the left-hand menu, select Personal, then choose Personal Information.
- Select Change > Contact Information.
- Click the Edit under My Contact Information.
- Scroll to the Work Contact Information section.
- Click the Pencil icon, enter your primary work email, and change the visibility to Public.
- Click the Checkmark icon to save.
- Select Submit at the bottom of the page. The usage will then display Work (Primary).
Please allow one business day for the information to sync. You can verify the update was completed successfully in the UT Directory.
Registration
Once your Workday email update has synced:
- Request an invitation via email from your Amazon group administrator to add you to the Business Account OR
- If you do not know your administrator, email the Procurement Services Systems Admin team with:
- Your required role, and
- The group you would like to join
- If you do not know the group name, reference a colleague on the team so the administrator can identify the correct group.
- You will receive a registration email and have 90 days to accept the invitation before it expires.
- Follow the instructions in the registration email to complete setup.
Login
Log out of all personal Amazon accounts before accepting your invitation and before placing any orders after access is granted. Amazon Business must be accessed through UT Direct using Single Sign-On (SSO).
- Your Amazon Business Prime homepage should reflect the University’s Business Prime account (below). If it does not appear as shown, please contact the Procurement Services Systems Admin team.
